Organisation Information To Help Your Works Party Go With A Boom

As the heat rises, thoughts turn to the office summer party. More often than not, these events are characterised by undercooked burgers, limp lettuce and warm wine. Whether you are having a big off-site function with staff and clients or a smaller office-based do, organising the office summer party is certainly no enviable task. 1. Get help: You may find it useful to create a social committee of willing volunteers to help you organise the party. The committee can provide party ideas, and if employees are used in the decision-making process, they will be more accepting of the plans made. 2. Draw up a guest list: If you are holding an event outside the office, you'll need to decide who is going to be invited before you can book a venue. Consider whether the party should be for employees only, and whether to include their partners and clients as well. If your corporation operates a shift system, this will need to be thought out in advance so that all employees have the opportunity to attend.

3. Consider the timing and location: Think about the location of the venue and the timing of the event. An event held out of office hours may not be suitable for some employees with family or other commitments. A daytime function may be more convenient for those with family commitments, while a Friday night may exclude people of certain faiths. If in doubt, seek the views of your employees, and try to agree a mutually convenient location and timing for the event.

4. Cater for different needs: If you are providing food, remember to check for different dietary requirements and offer appropriate options e.g. vegetarian or vegan. If you are using an external building, remember to check whether they provide alternative options. If you are supplying alcohol, remember that non-alcoholic drinks should be available for those that don’t drink (including on religious grounds), for those who are driving, and perhaps most importantly, to keep alcohol consumption down.

6. Set the rules: Remember that businesses can still be liable for the actions of their employees at off site work related social functions and events. It is a healthy idea to remind employees of this in advance. You could send out a letter which not only includes details of the event, but also spells out your organisation’s expectations of conduct, as well as a caution to drink responsibly. If your party is held on a week night, make it clear if employees are still expected to be in on time the following morning.

7. Supervise alcohol consumption: Some employers opt to provide a free bar. If you are supplying alcohol, consider providing it in moderation, and ask a trusted individual to supervise alcohol consumption. You could also provide tokens or tickets for alcoholic drinks to ensure things don’t get out of hand.

8. Think about how workers will get home: If your event is held away from the grounds, it is important to consider how employees will get home. Will your organisation be providing transportation, e.g. contract taxis, discounted taxi costs or a minibus to and from the event? If not, encourage workers to make their travel arrangements in advance, e.g. pre-booking taxis or arranging rides home.
